Terms and conditions

BOOKING:

Advance bookings are recommended to avoid disappointment. You can make an enquiry via the web-site, email or by telephone. A completed booking form and deposit will secure your booking. Booking forms can be found on the web-site; either print out and post it to us with a cheque deposit or complete and return online then direct deposit fees directly into our bank account.

DEPOSIT:

The minimum deposit is equivalent to one night’s stay. The deposit is non-refundable and will be deducted from the total cost of your stay. The balance payment should be made in cash or cheque upon arrival or via bank transfer prior to arrival.

SITES:

Sites are available for your arrival from 11am and should be vacated by 11am for your departure (unless alternative arrangements have been made prior to departure). Please report to the secretary’s office or caretaker’s cottage upon arrival. Please contact us to confirm your arrival time. Please note that the on site caretaker can be contacted 24/7 however we would respectfully ask that the office hours are adhered to unless in the case of an emergency.

CHILDREN:

We are a child friendly showgrounds however it is the parents’ responsibility to supervise them at all times and never leave them unattended. This is a multi-use showgrounds and there are vehicles moving around the showgrounds often. NOTE: some events maybe 18+ events and children will not be allowed.

DOGS:

Dogs are only allowed on the grounds if they belong to patrons who are staying there. Dogs must be quiet, under control and on a lead at all times. Dogs must NOT be left on site unattended at any time. Dogs can be walked around the showgrounds but they are not permitted in buildings. Please clean up after your dog. 

NOTE: Some showgrounds events may exclude dogs.

POWER:

Powered sites are available when you are booked in as part of an organised group. Please specify if you require power when camping. Fees are dependent on the number and type of power leads used.

AMENITIES:

There are 6 sets of amenities around the showgrounds provided for your convenience. Please leave them tidy and in the same condition that you would expect to find them.

FIRES:

Open fires are not allowed, however BBQs may be used. Fire extinguishers are positioned around the site in the case of a fire (please see fire safety instructions attached to the extinguisher). Please ensure they are not tampered with and any used extinguishers should be immediately reported to the site office.

SITE SPACING:

Whilst there are no designated sites marked out at the showgrounds, a general rule is that each caravan plus awning space, or motorhome, or tent should be at least 3 metres (10’) away from any other unit. COVID restrictions require vans to be at least 15m away from each other. 

PRIVACY:

The privacy of other site users should be considered. Noise levels should be reduced after 11 pm. Noise levels are checked regularly and failure to comply may result in termination of your stay.

RECYCLING:

There are mesh recycling bins on site. Arrangements can be made to dispose of aluminium cans, plastic and glass bottles (not wine) if you keep them separated from general waste.

REFUNDS:

Will not be given unless the Stanthorpe Agricultural Society stipulates that the grounds are unusable. You must pay for the dates as specified at the time of booking. 

 

However, if you are booking for an event the following refund policy applies: 

  • You will receive a full refund if you cancel between time of booking and one month out from the event.

  • You will receive a 50% refund if you cancel between one month out from event and 48 hrs out from event.

  • No refund will be provided if you cancel within 48 hrs of the event.

 NOTE: special circumstances can be considered on a case by case basis.

SITE SECURITY:

The main showground gates are generally closed at 7pm except when there is an event on. Vehicles should not enter the showgrounds after this time. If you anticipate arriving at the showgrounds after 7pm, please let the secretary know beforehand so that suitable access arrangements can be made. Amenity lights remain on whilst patrons are on site and other security lighting is in operation throughout the night.

SPEED LIMIT:

All traffic must adhere to the 5 kph speed limit in force when travelling around the showgrounds.

WASTE:

A large skip bin is available for your rubbish. This should be used for household rubbish only (items such as batteries, bbq’s and other hazardous waste must not be thrown into the skip). No loose rubbish please. Please ensure your bags are tightly secured.

WATER:

Taps are positioned around the showgrounds for showground campers only. The water supply is metered and the Society pays for all water used, so please refrain from using hoses excessively and ensure the taps are closed after use.

DUMP POINT: 

There is a dump point on the northern side of the grounds near the Club Rd gate. The dump point is for showgrounds campers use only. There is a dump point on Folkstone St in town for public use.

YOUR PROPERTY:

Your property is left on site at your own risk. The Stanthorpe Agricultural Society cannot be held responsible for any damage caused to your property or vehicle whilst on site.
